2023.07.10 Notice on Call for Suppliers to be Referred by Official Participants

The Japan Association for the 2025 World Exposition is compiling a list of various agencies to provide services in relation to the pavilions of Official Participants (foreign governments and international organisations that have accepted the official invitation to participate in the Expo) and calls for applications from agencies wishing to be included in the list. The provision of this list to Official Participants, for their reference, is required pursuant to Article 10 of the Special Regulation No. 2 for the Expo 2025 Osaka, Kansai, Japan. Details on the types of services called for are described below. Note that agencies should refrain from applying if they already applied last year to avoid a redundant registration.

For your information, there are 150 countries and 25 international organisations expected to participate in the Expo, of which around 50 participating countries are going to construct their pavilions themselves.

Details are as follows:

Conditions for applicants

(1) Types of services called for
The types of services called for in relation to Official Participants’ Pavilions are as follows:
‐ Architecture and engineering
‐ Exhibit decoration
‐ Intellectual property right related firms (1. Must be registered with the Bar association or Patent Attorney Association in Japan, 2. Available to respond in a foreign language (English required, French recommended)
‐ Liquefield petroleum gas (LPG) distributors under Article 3 of the liquefied petroleum gas law (1. Must be able to provide carbon offset LPG, 2. Must qualify as a No. 1 or No. 2 of Certified liquefied petroleum gas distributor in Japan, and have a place of business located within 40 km of the Expo site. * Qualification by an affiliated company is also acceptable)
‐ Property insurance agency (Only those who are entrusted by Property insurance companies licensed to engage in the insurance business in Japan for the specified (*) insurance items. (*) listed in Chapters 3 and 4 of “Special Regulations No. 8 “)

(2) Eligibility
‐ Applicants must have necessary qualifications for operating their businesses and providing their services.
‐ Applicants must have track records of providing services at international exhibitions, sporting events, and other occasions in Japan or elsewhere.

From Monday, 10 July 2023 to 14:00, Monday, 31 July 2023

Apply by an email entitled “Application for the registration of suppliers for Official Participants” with the following documents as attachments:

Please ensure that the information, such as contact details, are correct, as the information in your application form will be published as given on the “Official Participant Portal Site,” which is directly accessed by official participants.

Notes

‐ This list will, in principle, include all agencies that applied for the listing. However, if the agency is found to be in violation of laws and regulations or contrary to public order and morals, this agency may not be listed. Note also that the agencies on the list may be taken off if they are in the state as described above after registration.
‐ Applicants may be asked to submit additional documents necessary for the verification in relation to the preceding paragraph. If the applicant fails to respond to the request or problems are found with the submitted information, the applicant may not be registered as a listed agency or be taken off from the list.
‐ The list is planned to be provided only to Official Participants and not be made open to the public.
‐ Listing is free of charge. There are no registration fees, commission charges, or other cost involved.
‐ Registration for the listing and publication on the list do not guarantee a successful contract with Official Participants.
‐ Listed agencies need to negotiate and conclude contracts directly with Official Participants. The conditions and details of the contracts may vary depending on the actual contracts.
‐ The Association will never engage in mediation or other activities to resolve disputes between agencies and Official Participants arising from problems such as payment collection.
‐ If the information given in the application form should be modified or erased, please contact at the above application address.
‐ The operations to be conducted within the Expo Site should comply with the regulations, guidelines, and instructions provided by the Association. (See Regulations and guidelines (references) section below)
